Separate published package information from details that need confirmation. A fact sheet can cover starting package prices, deliverables, typical turnaround, your travel area, deposit policy and inquiry form. Availability, a bespoke shoot scope, and commercial usage deserve a human response.

Travel: ‘I photograph in [area]. For elsewhere, send the location and I’ll confirm travel options.’ Usage: ‘Thanks for asking — usage rights depend on the project. I’ll have the photographer confirm the right license for you.’
Where automation must not overreach
Do not let an automatic reply reserve a date, set a final commercial usage license, waive a deposit, or promise a turnaround for an unscoped job. Those are business decisions. The right automated response collects only the details the photographer actually needs to decide.

Ask for only the essentials: date, location, shoot type, number of people and the customer’s goal. Then make it clear that you will confirm. It feels more professional than giving a generic reply, and avoids treating a request as a commitment.
